Privacy Policy

Fox Valley Homeowners Association, Inc. ("the Association") operates this website for the residents of Fox Valley. This policy explains what information we collect and how we use it.

Information we collect

• Portal accounts: your name, email address, optional phone number, and the Fox Valley address you are associated with.
• Things you submit: contact messages, requests, parking pass details (such as vehicle and license plate), survey responses and ballots.
• Public property records: the owner of record, mailing address and sale dates from the Okaloosa County Property Appraiser, used only by the Board to mail official notices to owners and keep the home list current.
• Optional contact choices: your consent to receive official notices by email, and, for owners who rent their home out or get mail elsewhere, the mailing address you give us for official letters (seen only by the Board).
• Phone & computer notifications: if you turn them on, your browser gives us an address for its notification service (Google, Apple, Mozilla or Microsoft) and the device type (for example “iPhone · Safari”). Notifications are encrypted so only your device can read them.
• Technical information: a session cookie that keeps you signed in, and standard server logs (such as IP address and browser type) used for security.

How we use it

Only to operate the Association: communicating with residents, processing requests, enforcing the governing documents, conducting votes and keeping records required by Florida law. We do not sell or rent your information, and we do not use advertising or tracking cookies.

Who can see it

• Board members and site administrators can see account and request information needed to run the Association.
• Other residents see your name and contact details only if you opt in to the resident directory.
• Secret ballots are stored separately from the record of who voted.
• Association records may be subject to inspection by members as provided in Chapter 720, Florida Statutes.

Your choices

• Update your profile, directory listing and email preferences at any time in the portal.
• Choose whether official notices come by email or by mail.
• Turn phone & computer notifications on or off for each device, choose which kinds you get, and remove devices, from your portal profile.
• Download your data or close your account yourself from your portal profile. Records the Association is required to keep, such as architectural decisions and notices about a property, stay with the property.
